UDIMagic v4.0 Release 1.3

UDIMagic v4.0 Release 1.3 now supports some new options in the UDIMagic.ini (configuration) file as shown underneath :-

Remarks:-
1) As we cannot programmatically get the Tally version/release, a new option has been kept in the udimagic.ini (configuration) file to specify the Tally version. Ex: 9.0.3.2 specifies that the Tally version is 9.0 and Release is 3.2

2) While importing data into Tally, the Masters with same name (i.e. same master) are skipped by UDIMagic, by default. However, when data is to be imported into multiple Companies, we may require one Master to be imported into more than one companies. In such cases, you need to specify the MultipleCompanies=Yes in the UDIMagic configuration file

Free Support Services period - Why 90 days and not 1 year ?

Why the FREE Support period is only for 90 days and not 1 Year ? - Often Customers ask us this question. (PS: In most of the cases, the question is raised only after expiry of the 90 days).

This post is an attempt to put forth our views on this subject matter.

Uploading large data-sets from Excel to Tally

UDIMagic - Support for uploading large data-sets from Excel to Tally

In case of large data-size uploads, support shall be restricted to maximum of two times test-uploading of 10000 rows of data (per license) and if any data inconsistencies are found, the same shall be intimated to the Client. It shall be the Client's responsibility to ensure that the data is consistent.

COMPANYNAME tag

UDIMagic supports a tag named COMPANYNAME which allows uploading of data to the specified Company.

Remarks:-
The above tag is useful when you to need transfer data to more than one companies. For ex. you may have an excel sheet wherein some entries are to be uploaded to Company A in Tally, some entries to Company B and other entries to Company C in Tally. This is feasible using the COMPANYNAME tag

Missing Security Tab in Windows XP

In Windows XP, you can set permissions on files so that specific users can access it. However, in certain cases when you Right click on the file and select Properties, you may notice that the Security tab is missing.

To get the Securities tab, follow the underneath steps :-
1. Open Windows Explorer, and choose Folder Options from the Tools menu.
2. On the View tab, scroll to the bottom of the Advanced Settings and Clear (click) the check box next to "Use Simple File Sharing."
3. Click OK to apply the change, and you should now have a Security tab when viewing the properties of a file on an NTFS volume.

VBA Check if Sheet exists

In certain Excel templates, we use a sheet for specifying some Settings. Generally, this sheet is named as SETTINGS.

However, at times you may forget to include the Settings sheet. Here's the macro code to check for the Settings sheet and display a message if it is NOT found.

Tally Error : Date is Out of Range

The aforesaid error Date is Out of Range occurs if the voucher date is lesser than the Books beginning date given in the Tally Company.

A typical situation wherein the aforesaid occurs is shown underneath :-

a) The Books beginning date in Tally is 01/04/2011
b) The Voucher date in the Excel sheet is 09/01/2011

While importing data into Tally using UDIMagic, the error "Date 9-1-2011 is out of Range" appears. This is because the Voucher has DATE as 9-1-2011 (i.e. 9th January 2011)

Remarks:-
We  have found that the said problem generally arises in cases where the Excel data is generated from some 3rd party application. Though the data generated by that application may be in dd-mm-yyyy format, it appears as mm-dd-yyyy in the Excel sheet. To rectify this, use option "Start - Settings - Control Panel - Regional and Language Options" and set the option as "English (United Kingdom)" instead of "English (United States)".

Localhost Vs 127.0.0.1

Localhost
Localhost (this computer) is the standard hostname given to the address of the loopback interface of the Computer.

127.0.0.1
127.0.0.1 is a special purpose address reserved for use on each computer and is conventionally the computer's loopback address.

On modern systems, the Localhost as a hostname translates into 127.0.0.1 (IPv4 address). Generally, both Localhost and 127.0.0.1 can be used to access the local machine. However, if a Proxy Server is defined, then Localhost works fine, but 127.0.0.1 may create problems and may connect to the Proxy Server even though the option "Bypass proxy server for local addresses" is set on. By default only hostnames are checked when "Bypass proxy server for local addresses" is set on. For more information, refer http://support.microsoft.com/kb/262981

Create dependent Masters in Tally

UDI-Magic v4.0 supports a new feature that allows you to specify whether Dependent Masters are to be created or not in Tally.

Usage:-
1) Open the UDIMAGIC.INI (configuration file) in Notepad.
2) Add the lines as shown below :-
     
  [UDIMAGIC]

  CreateDependentMasters=No

  ;;a) Must appear under section [UDIMAGIC]

  ;;b) Yes means - Create Dependent Masters.

3) Save the file and close Notepad.

Remarks :-
The aforesaid feature is useful in situations where initially you want to IMPORT data in a Blank New Company in Tally and the dependent Masters must be created (set CreateDependentMasters=Yes). Later on when you import data in your Original Company wherein Masters already exist, you can set it to No (CreateDependentMasters=No)

Excel 2010 - Error 800A3EC

In case, if you are using Excel 2010 or Excel 2007 and get the Ole Error 800A3EC while importing data into Tally using UDIMagic, then it is likely that VBA is NOT installed in your system.

VBA macros in 2010, 2007

Prior to Excel 2007 you didn't need to install the Visual Basic Editor if you wanted to develop or run macros (VBA procedures). VBA Replace function

Syntax

Replace(cString , cFind , cReplaceWith)

Example

Replace(cString, "A","a")

The above replaces all occurrences of  capital "A" with small "a" in the cString variable.

Remarks:-
The VBA Replace function is very useful for manipulating Excel data at runtime. In certain cases, where the Excel data is generated from 3rd party softwares, we faced certain issues. Example, the Amount was displayed in TEXT format and included comma separator like 1,50,000.00. We used the VBA Replace function to remove the commas and then convert the value to Numeric.

Excel 2007 - Error 800A9C68

If you are using Excel 2007 or higher version and get the said error while importing data into Tally using UDIMagic, then it is likely due to Macros.

Solution:-
In Excel 2007, the default setting for Recalculation of formulas is AUTOMATIC. We need to change it to MANUAL initially before making changes in the Excel sheet at run-time and the reset it to the Automatic at the end.

The following code is used to set the calculation to Manual :-

Date displayed as number in MS Excel

Query
On entering DATE in Excel, it is displayed as a number rather than Date.

Solution
1) Select "Tools >> Options >> View"
2) Uncheck the option "Formulas"  which appears under the section "Window options".

Failed to fetch Tally data

The aforesaid error Failed to fetch Tally data appears if the Tally License Server and Tally Software both are running on the same Port.

Solution :-
1) In Tally Software, press F12 and select option Advanced Confiuration
2) Next, set the Port to a different than the current Port, say 9001 or 9002.
3) Save it using Ctrl+A. The new Port settings will be visible in the Gateway of Tally.
4) Next, start UDIMagic and in the 2nd screen, click on the Settings button and set the Port as assigned in Tally Software in point 2.
5) Next, in UDIMagic 3rd screen, click on the "Test Connection" button to test connection with Tally Software.

Stock Items with BOM

BOM or Bill Of Materials in Tally, allows you to define a list of items for manufacturing a product.

Previous row values - OFFSET

The OFFSET Excel formula is quite useful when we need to access the values of previous or next rows.

Syntax
=Offset(currentcell,row,cols)

Example : 
=Offset(A10,-1,0)

Returns the value of Cell A9.

Price List with Alternate units

BUG: Tally ERP 9 Release 3.0

When you use the option "Gateway of Tally >>Price List" to enter Price Levels for an StockItem, if you specify the Rate in "Alternate Unit", the same is stored/saved but is NOT displayed when you once again modify/view it using the "Gateway of Tally >> Price List" option.

It has been confirmed by Tally Solutions, Bangalore that the aforesaid problem is a bug in Tally ERP 9 Release 3.0

Tally Error - No Accounting Info

The aforesaid error NO ACCOUNTING INFO generally occurs while importing data into Tally Software, if the LEDGERNAME tag is missing or does not contain any ledger-name.

XML parse error

The XML parse error appears if you have NOT selected the XML tags file in UDIMagic. A screen snapshot of the error is given below:-

Solution
When you run UDIMagic, you will be prompted to select the following :-

a) Data-type : Voucher or Master
b) Excel file
c) XML tags file  

If you have download sample-templates from our site, please check whether the zip file contains XML-tags file.If it contains the xml-file, then you must specify the xml-file in the UDIMagic where you select the Excel sheet. Ensure that you tick the option Use separate file for XML tags.

In brief
If the zip-file downloaded from site www.rtslink.com/download-excel-sheets.html contains xml-file, then you must select it in the UDIMagic dialog box else not.

The INDIRECT worksheet function is a useful tool for creating cell or range references "on the fly", as a formula is evaluated, rather than "hard coding" them into the formula.

In its simplest usage, the INDIRECT function allows you to put the address of one cell in another, and get data from the the first cell by referencing the second. For example, if cell A1 has the value "C3", then =INDIRECT(A1) will return the value in C3
